Domino V14 - A New User Capability - Mail Merge

I have asked for this for many years, and we got it in V14! 

This is my guide and first reaction.

If you have Admin Assistants or need to do your marketing, you need to use Word or some 3rd party to do what should be a simple effort.

HCL has given us a nice Mail Merge inside the notes client.

It may take some testing for your first one, but hang in there, it is much easier than other methods I have used.

I will elaborate on these topics below:

Where is the Mail Merge option?

Naturally, the first place to get information is the HCL Documentation.

I'd like to say this is well-documented, so someone who is not a developer or in IT can follow along.

But it isn't, which is one of my few issues and why I am writing this blog post.

Presuming you updated your Notes client to V14 and updated your mail file template to V14, Mail Merge is a newly added option in your Mail inbox view, when you select New > Mail Merge.

What you need to set up the Mail Merge 

Like most Mail Merges, you need your data, usually in a spreadsheet. HCL asks for Excel. I did not test any other spreadsheets.

The documentation says, but doesn't show or provide an example:
  1. Create an Excel spreadsheet.

    Each column represents an aspect of the email body that will be personalized; each row should specify every user receiving the email and their personalized information.

  2. Save the Excel file.
Took me a few tries to figure this out.

Naturally, every row should be a name, easy enough.

What is the column story exactly?

At first, I tried putting in details, but that didn't work right.

You need to provide a Title to each column.

I thought I needed the Notes designer name for each field, which would be crazy for an end user, but I was wrong. 

The title can be anything you want; this is cool because oftentimes, you get hard requirements for naming.

But make it easy to follow, as you will see in the next steps.

Here is an example of my simple test Excel file, without the attachment column.

Then save your file.

Creating your Mail Merge

This is what you came here for, and it is set up like a Wizard to help you.

After selecting New>Mail Merge and you select the Excel file you created, you will see this dialog box:

If you click on the drop-downs you can see all the column titles you created and in my screenshot below, it recognizes some names directly.
Attachments in Excel are messy, but I tested using a local file link.

Once your basic fields are defined, you move to the memo form.
NOTE: The attachment(s) do not appear anywhere in this form! But they are there, as we will see shortly.

I did not know what to expect, so I created a "Body" column with the text I wanted. Normally, this is where you would paste your Word document or email template, so the body field I created is not needed, but I added the field there to show an example of fields and text.

People who are used to creating a Mail Merge will understand that you format the mail/body text like usual and you can include graphics and other changes to fonts, etc..

NOTE: In my testing graphics that appeared in the preview did not come through to the recipient.

Usage cases for this include bulk email senders, bill notifications, or other similar types of standardized messages, but if you don't need heavy, intensive graphics, this will do quite well for your marketing team, too. YMMV.

When you need your fields from the Excel file, click on the Insert merge field, and it will add the block. You can then move it or work around it, as i did with BODY below.


Once your mail is ready, click the Preview and Send button.

Previewing and Running a Mail Merge

I grabbed a side-by-side screenshot to show you how the form looked compared to the preview.

You can see the attachment is now shown and takes up the top part of the mail, I would prefer it be on the bottom, and this causes a different issue when NOT including attachments, as we will see below.


There is a little arrow and number for you to check your previews, and if you need to edit it, select the Continue Editing button, or if it is ok to send, click on the Send Mail Merge button.

The screenshot below is how the email looks in my Verse client, and Gmail, when I receive it.

NOTE: I need to verify what went on, but the Mail merge seems to include an auto bcc to the sender. Be nice if this was documented or stopped, because why would I want 100s of emails flooding my inbox?

Note the long line across and how the message doesn't start on top but only under that long line? That area is the attachment area.

My hope is HCL fixes this in the future because it looks like the mail got cut off or is missing something.


For a fresh Out of The Box benefit for people, I like it and hope to use it in my marketing efforts.

V14 Notes, Domino, Traveler are out Now

But your Notes install may have an issue.

NOTE: This post will be updated/edited as I figure out more of what is going on. Domino install-info after the Notes client info below.

I tried installing HCL notes, only comes in 64-bit now, on 2 different machines.

The installation was on top of the existing ones.

You may want to use the NICE tool to clean up the prior install first, might save you some headache.

1st is my usual laptop, 6 months old, Windows 11 Pro which already had 1202fp2(64-bit), and while it looked ok after about 20 minutes of waiting to finish, it gave me this, with no more details. It possibly happened while uninstalling or disabling something.


And then backed out the installation.

Subsequently, what I did was extracted the installer to a new location.
Then ran the setup, RunAs admin.
And this time it worked. Thank you Marc Thomas for the hint that there may be some extraction issue and to try it this way.
So, 2 clients installed, a server with traveler installed and it took about an hour and a half including troubleshooting/retries.


The 2nd installation on my Windows Server 2019 which is a hosted VM gave me this message:

And after trying again to click ok said this:


Never had something like this happen before during an install. 

I extracted the 1202 notes client as requested to get the MSI file and then the installation continued on its way. Also takes about 20 minutes.

So the Server install completed, even after asking for the 1202 code.

Now to figure out what is wrong with my Windows 11 install.

Domino Install

If you do a custom install, like I do, you will see the options to install Nomad and Ontime and I think Verse, my screen capture did not capture, sorry.

You will also see something my beta code did not do which is confirm the Domino login name for the startup services.

You may want to be careful with that if you don't know how you are logging in because your server may not start afterward.

Time to update was between 5-10 minutes including restarting the server and updating the Directory.

Traveler is also available and installs like usual in a few minutes.

Nomad works just like it did before, so the update did not change that, but it would be nice if it told us which version it was, instead of developer code which is 1.0.9.5525-3341. How do I know if mine was even updated? Maybe 1.0.9 was what was installed, but i already was at that level.

Verse works as well. 3.2, which I had installed, need to look up what version is installed as V14.

Ontime kept my configuration, and the booking settings still work as well.

Pretty cool when you think about all the stuff HC has to verify on the Domino side given these things are now included in the installation.

A little bit historical symbolism inside, a little bit new, and 100% of the future!

plus some other items perhaps on December 4th at 9AM Eastern Time from Tokyo.

Many of you just got V10, or have yet to take that leap, but HCL has got you covered and wants you to move to V11.

If you thought HCL was just milking the support money and not expanding the products, you lost that bet, and will continue to lose that bet for a few years out, but you have to tune in to find out why and how.

If you thought Notes and Domino were old and not caught up with the times, you may be pleasantly surprised to see changes that will stretch life longer because 30 year old(software) know a lot more than an under 5 year old(startup) about how you run your company, and integrate your business to the world as a whole, not just to one vendor, or one country.

In software terms, not many other software has survived this long and still produced money and ROI for companies using it, DOS still runs Windows, so that may be the only thing everyone still uses.

If you say email doesn't make you money, tell that to online stores and entities that rely on automated orders and ticketing systems.

Down time hurts, big time!

If you require on premises servers, you have come to the right place!
If your fear is the Cloud apps will get stuck, yes, on premises has down time too, YOU can control the situation and get your self back up, something not available to you when you are 100% Cloud indebted.

I hear the young people saying no one uses email, everything is in Slack and their integrations into products we use.

Maybe

But did you ever meet a person on the street that uses slack?

Neither have I.

But they ALL use email. They also use instant messengers but the bridge from the IM to email is still not there, yet...

Domino 10, The Early Game is Afoot

Notes is dead they say.
Domino is passe.
Who uses this thing?
Why do you (meaning me) bother?

Yes it is a tough life one leads when they go against the grain.When you believe in something so strongly you pursue it until a better pivot comes along. So far nothing I have used outside of Salesforce makes me want to pivot away from ICS, but I always have a soft spot for CRM apps, see my history with SugarCRM.

IBM did a webinar yesterday and due to the holiday here I could not be on it live but I just finished the recorded version (only some slight redactions of a few screen shots) and want to report about it. You can watch/listen to it here.

Bob Schultz the recently crowned GM for IBM Watson Talent and Collaboration Solutions opened the call.

Bob then handed it over to Richard Jefts who is the GM/VP Collaborative Workflow Platforms for HCL and Andrew Manby Director of Offering Management for ICS. 

Jason Gary of the ICS internal Pink team, now with HCL, also snuck on the call and did a quick Node.js discussion and demo. Leaving Connections to work on Notes and Domino is a loss for the Connections team but a big win for the Domino one.

So what did they actually tell us?

I am skipping the dev items because I am not a developer and would not explain them well at all. Aside from the Node.js inclusion that will be built in, not bolted on, please go read some other blogs from my developer friends like Paul Withers and Hogne Pettersen and the Red Pill team.

The list is in no particular order includes the following and feel free to provide more details or comment:

  • 256GB NSF sizes - Currently we have a 64GB limit so this is nice but why in a world of unlimited cloud storage and massive mail files is there even a limit of under 1TB? Performance and function. The larger it is the harder it is to maintain it properly and the resources to manage it efficeintly. My guess is IBM has some data to work from and notices database sizes are growing and this is an acceptable compromise.
  • Leveraging Microsoft Word as an editor - Not sure I like this idea given every single version of Word not only handles regular text and rich text differently it also messes up HTML and XML and O365 is not exactly efficient especially when run from the Cloud. But I understand IBM's reasoning and understand the option should be available.
  • Team Calendar Enhancements - They were kind of vague about what was new and it was a fast screenshot/demo. Presumably making it easier as the speakers said the loudest voice was to make functions easier to use.
  • 3rd party invitations to a meeting - That you don't own which would be great instead of just forwarding an email or entry but adding someone to a meeting you don't own.
  • Group forward mails - This we already had so I was not sure what was so new. Sometimes our own people don't even know the 1,001 things we can do with Notes and Domino. Anyone feel free to provide me some edit for this one.
  • Scheduled email - All I can say is FINALLY! This has been one of the top things I always get from Outlook users that they need. Personally I could use it maybe once in a while so never a big need but i understand why people want it.
  • iPad app is coming. - I know because I was on the beta until my iPad was no longer included in updates from Apple and thus I can not leverage it anymore. But I have grown apart from my iPad and so while this may be needed, it may have jumped the shark already.
  • Version 11 and others in pipeline  - which means items they could not do for 10 or items which were questionable get pushed forward to what I hope internally the beta will be called Spinal Tap "it goes to 11" edition.
  • NSF-2 - NSF is getting updates and the future of NoSQL looks to be in good hands.
  • OAuth support via REST API - which will allow Domino to interact with so many apps and websites that will be exciting to see how this works out.
  • Domino apps on the Cloud - is a needed service and sounded like it will be coming out.
  • SAML support is being extended - Not much details provided yet, come to Think is the mantra for more information and SEE it in action.
  • Elastic search - or just better, broader search is coming.
  • Active Directory integration - continues because why should you run two different directories.
  • Client AutoUpdate - Yes, been asking for this for years. Of course big customers with tweaked environments will turn this off, but for the rest of us out there just Thank the team. This presumes they do not just mean an update to SmartUpgrade and a real polling and downloading from a "store".
  • Automated Database Repair - More proactive database monitoring and automated fixups or whatever goes a long way to letting Admins stop putting out fires and be more proactive in expanding their users worlds of collaboration.
  • Docker - I am on the fence if this is really a genius idea or just another VM type option. But for companies who want it, it is coming. You can already make use of Domino and Docker in 9.0.1FP10.
  • Destination Domino - SME and IBM Champions and IBMers will be more proactively writing useful and detailed information in what sounded like a newsletter or another DeveloperWorks community  for admins, developers, security people and business owners. As they said on the call communication is key and they have planned many routes to inform everyone about what is going on. 
  • 3rd party mail integration - "At THINK" more will be known, shown, etc.. Being a mail person I am very interested in what they have in mind.
  • Verse and Desktop client parallel development work - going on because large groups exist for both currently.

ETA for Domino 10? 2018 which is a vague way of saying 2nd half of the year.

SnTT - In Which Port Settings Don't Quite Work

Been a long time since I wrote a Show n Tell Thursday so let's get on with it.

Building an IBM Domino cluster is not as difficult as it was years ago and I was done with the basic parts and wanted to test the fail over.

I figured easiest way to do this was to enter at a server console "stop port tcpip" while connected via rdp to the server.

I tested mail clients could fall over to the 2nd server and mail routed. Great.

Back to the server and server console and tell it to "start port tcpip".

I didn't think much about it and since there were some server updates to add to the box, I decided to shut it down after the updates were done.

It came back up and was running and I was working on another server in the domain when the client let me know no one could connect to the server. Odd, I was there and it "looked" ok. On closer inspection, it was not ok.

Errors that said databases could not be found, no route found, no network could be found, trace connections and some other fine error messages that mean nothing to the average person.

After poking around a bit, I figured the notes.ini needs to be edited. I checked with Rob Kirkland, of this book fame on Domino System Administration, and followed it to solve the problem.

I found the TCPIP port listed under disabled ports. Deleted it form there.
Found TCPIP=TCP,0,15,0,,45088 was missing which is for compression and encryption (see below).
Also missing was Ports=TCPIP

After putting it all back together, rebooted and all is good again. Still not sure why the commands failed and did not help this 8.5.3FixPack6 server but at least someone else out there will not have to waste an hour or 2 tying to figure it out.

SnTT - Traveler 9.0 IF1 In Case you get This Error

Sorry old picture, no new one for Tuesday.

While updating my IBM Domino server from 9.0 to 9.0HF328, I also saw an update for IBM Notes and Lotus Notes Traveler.

Just been busy and did not get to these yet and Domino and Notes went fine.

Traveler update however it seems was a corrupted download. Given it has been posted for 2 months I presume it is not IBM, but my download.

In any event, for those who like me end up seeing these messages after they ran the installer, which said it was done properly :

You will find, if you try to open the files in the Domino Admin client that they are either corrupted or waiting to be configured or just not available and truncated.

So what to do? I tried fixup and that worked for the .nsf files. Trying to run it against the EsmMapDirTemplate.ntf file failed. I checked the downloaded update and sure enough when I went to look at the .JAR file it was inside, the .jar file threw an error at me and said it was malformed or corrupted.

Back to traveler 9.0, reinstall and all is good again. Now back to download a new 9.0IF1 and see if we can get this upgraded again

And for the record updating my Android client from the Appstore, which is now not in synch with the server client version. Either the way of the future, client side or going to be a problem in locked down companies perhaps?

Entourage and Domino

Show of hands, how many people know what I am talking about?
How many technotes are there in IBM Support Toolbar on it?

Never a good sign when you are looking for details.

So, naturally I ask my friends out there to let me know via email what the options are in using this client for Domino. What options do we have? does C/S work efficiently if at all. How hard would it be to pry it form the users hands?

Remember, I am not asking about the MAC Beta 8.5 client.

Happy Holidays, Lotus Style

2007 started out so well,
Lotusphere in Orlando was swell.
R8 was brought out and it was good,
Mobile, internet based and free,
and a new spreadsheet for you and me.

So whether or not you used SSL, VPN, POP3, LDAP, IMAP, IPv6 or a (i)phone,
Make sure to finish the year right and use Sametime8 mobile client when away from home.

So onwards Notes, Domino, Sametime, Quickr, Connections, Forms, Symphony and Doc,
We have many more clients to bring good cheer and luck.

R8 and Advertising for the Launch

Whoa! Stop the Presses!
Let's step away for a moment from pure Evangelism and look at possible advertising.
Warning, the likelihood of Lotus using these ideas are nominal, but you can't blame a guy from tryng to help.

R8 the next version of Lotus Notes & Domino could have some great tie ins, since it sounds like RATE (or if you want R8 is GR8) for example for print ads of course the name and tags are in Yellow:

FPL for instance could be shown with a FPL renewed energy R8
or Moody's could show the IBM R8 (clear this with legal first)
Any Lawyers professional R8
Top consulting firms guaranteed R8
Mortage companies provide best possible R8

Goofy, maybe. But although I laughed at the habitrail ads in IT magazines for Lotus, they just don't get much across to the average joe on the street, or myself because who wants to read text in an AD? Just stick on the logo and whatever this years IBM name/tag for Lotus is and leave it.

If the graphic doesn't say it all, you are wating your time, like showing a full slide of text in powerpoint presentations, no one reads it all.

Coke is it! But Lotus Notes is GR8!
